These Terms and Conditions ("Terms") constitute a legally binding agreement between you (the "User") and OLSHCOLAR Research Management System ("OLSHCOLAR", "we", "us", or "our") regarding your use of our research management platform and related services.

Please read these Terms carefully before using the OLSHCOLAR platform. By accessing or using our services, you acknowledge that you have read, understood, and agree to be bound by these Terms.

User Accounts and Responsibilities

Account Creation and Security

  • Users must register with accurate and complete information.
  • You are responsible for maintaining the confidentiality of your login credentials.
  • You must notify us immediately of any unauthorized access to your account or any other breach of security.
  • We reserve the right to terminate accounts that remain inactive for an extended period.

Account Restrictions

  • Unauthorized access to another user's account is strictly prohibited.
  • You may not create multiple accounts for deceptive or fraudulent purposes.
  • Users must ensure that any research uploaded or accessed complies with academic integrity policies.
  • Account holders are responsible for all activities performed under their account.

Sharing your account credentials with others is strictly prohibited and may result in immediate account suspension.

Use of the System

Permitted Use

  • The OLSHCOLAR platform is designed for research submission, management, and collaboration.
  • You may use the system for academic and educational purposes in accordance with your institution's policies.
  • The platform provides tools for document storage, version control, and collaborative editing.

Prohibited Activities

  • Users agree not to misuse the platform for activities such as plagiarism, hacking, or distributing unauthorized content.
  • You shall not use the system to store or transmit any harmful code or malware.
  • Excessive use that may impact system performance for other users is prohibited.
  • Any attempt to reverse engineer, decompile, or disassemble the software is strictly prohibited.

Research Submission and Intellectual Property

Ownership of Content

All research submitted remains the intellectual property of the author(s) but may be stored and accessed as per institutional guidelines. By submitting research, you represent and warrant that you own or have the necessary rights to the content you upload.

License Grant

By submitting research, users grant the institution a non-exclusive, worldwide, royalty-free license to store, review, and display the research within the system for the purposes of academic evaluation, peer review, and institutional record-keeping.

Academic Integrity

  • Plagiarism and copyright infringement are strictly prohibited.
  • Users must properly cite all sources according to the institution's citation guidelines.
  • The institution may use plagiarism detection tools to verify the originality of submitted work.

Data Privacy and Security

Data Collection and Use

Data Sharing

The system administrators will not share user data with third parties without consent unless required by law or as necessary to provide the services. We may share anonymized and aggregated data for research and statistical purposes.

Content Moderation and Removal

The institution reserves the right to remove any research or user-generated content that violates policies or legal requirements. We will provide notice before removing content when appropriate, but may take immediate action in cases of serious violations.

Users can request the removal or correction of their submitted research if needed. Such requests should be submitted through the designated channels and will be processed in accordance with institutional policies.

System Availability and Maintenance

The institution aims to maintain 99% system uptime but does not guarantee uninterrupted service. The RMS may undergo periodic maintenance, during which access may be limited.

Scheduled maintenance will be announced in advance whenever possible. We typically schedule maintenance during off-peak hours to minimize disruption.

The institution is not responsible for any data loss due to technical failures but will take reasonable measures to prevent such incidents. We maintain regular backups of the system, but users are advised to maintain local backups of critical research materials.

Violations and Consequences

Violations of these Terms include, but are not limited to, unauthorized access, content misuse, intellectual property infringement, and system abuse.

Violation of these terms may result in penalties, including account suspension or permanent removal from the system. The institution may implement a progressive disciplinary approach for minor violations.

Legal action may be taken in cases of serious misconduct, such as data breaches or intellectual property theft. Users will be notified of alleged violations and given an opportunity to respond before penalties are imposed.

Changes to the Terms

The institution reserves the right to update these terms. We may modify these Terms at any time, and such modifications shall be effective immediately upon posting the modified Terms on the platform.

Users will be notified of major changes through email or system notifications. For substantial changes, we will provide at least 30 days' notice before the changes take effect.

Continued use of the system after the effective date of any changes implies acceptance of the modified Terms. If you do not agree to the changes, you should discontinue use of the platform.
